HVAC CRM for Small Shops: ServiceTitan vs Housecall Pro vs Jobber vs GoHighLevel
If you run a small HVAC shop, you’ve probably sat through at least one software demo that felt built for a company ten times your size. This is a plain HVAC CRM comparison of the four names that come up most, what they cost as of September 2026, and who each one actually fits.
Quick answer: the best HVAC CRM for small shops
For most HVAC shops with 1 to 10 techs, Housecall Pro or Jobber is the practical HVAC CRM: published pricing, quick setup, and scheduling, estimates and invoicing in one place. ServiceTitan usually makes more sense once you have a bigger team and someone to run it. GoHighLevel is a marketing and follow-up tool, not dispatch software, so it works best next to one of the others.
Who this is for
Owners of residential HVAC companies, roughly 1 to 15 technicians, who are choosing their first real CRM or thinking about switching. If you already have a full-time office manager who loves software, some of this will be obvious.
HVAC CRM comparison: the short version
| Best fit | Starting price* | How it’s priced | Watch out for | |
|---|---|---|---|---|
| ServiceTitan | Larger shops, roughly 10+ techs | Quote only | Per technician, per month | Onboarding cost and contract length, confirm both before signing |
| Housecall Pro | Small residential shops | $59/mo billed annually ($79 monthly) | Flat plans by user count | Basic plan is one user, most teams need a higher tier |
| Jobber | Small multi-service or multi-trade teams | $29/mo billed annually for one user | Plans by user count, add-on users | Team plans cost several hundred a month |
| GoHighLevel | Marketing, lead follow-up, reviews | $97/mo | Flat plans plus usage fees | Calls, texts and AI features billed on top, no dispatch or job costing |

ServiceTitan
ServiceTitan is the one the biggest HVAC companies run on. It covers call booking, dispatch, pricebook, memberships, reporting and a lot more, and it’s very good at all of it when someone is actually running it.
The catch for a small shop is cost and setup. ServiceTitan prices per technician and only quotes after a demo. Third-party reviews in 2026 commonly report somewhere around $245 to $500 per technician per month, plus onboarding and a yearly contract, though your quote could differ. If you have three techs and no office manager, you may end up paying for a lot you never set up.
Fits if: you have 10 or more techs, a dispatcher or office manager, and you want one system for everything.
Housecall Pro
Housecall Pro is built for smaller home service companies and it shows. Scheduling, dispatch, estimates, invoicing and payments are straightforward, and you can be up and running without an implementation project.
Published pricing starts at $59 a month billed annually ($79 month to month) for the Basic plan, which is limited to one user. The Essentials plan is $149 a month billed annually ($189 monthly) and covers a small team. Some features, like advanced marketing tools, cost extra.
Fits if: you’re a residential shop with a handful of techs and you want something your team will actually use next week.
Jobber
Jobber is similar in spirit to Housecall Pro: simple scheduling, quoting, invoicing and a customer portal. It’s popular with shops that do more than one kind of work and want clean quotes and client communication.
The entry plan starts at $29 a month billed annually for a single user, and extra users are $29 a month each. Plans built for teams run several hundred dollars a month. Check which plan includes the features you care about, like automated quote follow-up.
Fits if: you want easy quoting and invoicing and you’re not HVAC-only.
GoHighLevel
GoHighLevel isn’t field service software, and it doesn’t try to be. It’s a marketing and sales CRM: lead capture, text and email follow-up, reviews, a booking calendar and automations. We use it ourselves to run marketing at RevUp Now AI, so we know it well.
Pricing is $97 a month for the Starter plan and $297 for Unlimited, with calls, texts and AI features billed on top based on usage. It won’t dispatch a tech or cost a job. Where it shines is the follow-up most HVAC shops skip, like chasing quiet estimates and asking for reviews.
Fits if: you already have a field service tool and want better lead follow-up and review requests on top of it.
How to pick an HVAC CRM for your shop
1 to 3 techs
Start with Housecall Pro or Jobber. Keep it simple, get everyone using it, and don’t pay for features you won’t set up.
4 to 10 techs
Housecall Pro or Jobber on a team plan still works for most. Add GoHighLevel if lead follow-up and reviews are where you’re leaking.
10+ techs
This is where ServiceTitan starts to earn its price, especially if you run memberships at scale and have someone to own the system.
The part no HVAC CRM does for you
Every one of these tools gives you the ability to automate things. None of them does the automating for you. Someone still has to build the follow-up sequences, set up the maintenance reminders, connect the phones, keep the pricebook current and fix things when they break. In a small shop, that someone is usually the owner, at night.
That’s the gap we work in. We take the CRM you already have (or help you pick one) and build the automations around how your shop actually runs: calls answered 24/7, jobs booked, invoices out the same day, estimates and plan renewals followed up. We build it, run it and maintain it for a flat monthly fee. More on how that works for HVAC.

HVAC CRM FAQ
What is the best HVAC CRM for a small business?
For shops with a few techs, Housecall Pro and Jobber are the usual picks because of published pricing and quick setup. The best one is the one your team will use every day, so try both free trials with a real week of jobs.
Is ServiceTitan worth it for a small HVAC company?
It can be, but it’s priced per technician and built for bigger operations. If you don’t have someone to set it up and run it, a simpler tool plus good automation often gets you more for less.
Can GoHighLevel replace ServiceTitan or Housecall Pro?
Not for dispatch, job costing or tech scheduling. It’s strongest as the marketing and follow-up layer next to a field service tool.
Do I need a CRM and an answering service?
Most small shops do, because a CRM stores the lead and an answering service catches it. We combine the two by answering every call and putting the job straight into your CRM. See our HVAC answering service.
Already have a CRM that nobody has time to set up?
That’s the most common thing we see. We’ll look at what you have and tell you honestly what’s worth automating first.
